Which job management software should a NZ trade business use?
There is no single best job management software in New Zealand. Four cover most NZ trades, and the right one comes down to three things: how many people need a login, whether you do lots of short jobs or a few long ones, and whether your crew is on iPhone or Android.
ServiceM8: priced by job volume, not per user. Free for 30 jobs a month, then $29, $79, $149 and $349 a month for 50, 150, 500 and 1,500+ jobs, all with unlimited staff logins (servicem8.com NZ pricing, as at July 2026). Strongest on iOS, on-site forms and offline use
Tradify: $48, $52 or $62 per user per month excluding GST on Lite, Pro and Plus (tradifyhq.com NZ pricing, as at July 2026). Unlimited jobs on every plan, works on iPhone, Android and desktop, and it is the easiest of the four to learn
Fergus: from $53 a month for the account on Basic and $75 on Professional, plus $26 a month per timesheet user (fergus.com NZ pricing, as at July 2026). Built around job phases, purchase orders and site health and safety
NextMinute: from $199 a month for 3 to 9 users and $349 for 10 to 14, excluding GST (nextminute.com NZ pricing, as at July 2026). Aimed at NZ builders, with takeoff imports, site plans and Auckland-based support
Why we declare our ServiceM8 interest up front
Because you should discount our opinion accordingly. Horton Taylor is a ServiceM8 Certified Partner and Mitch gets paid for ServiceM8 setup and support, so that is a bias rather than a coincidence. What we will not do is tell you it suits everyone, because it does not.
A nine-person building crew doing progress claims is better off on Fergus or NextMinute, and an Android team is an easier life on Tradify. We back ServiceM8 for most small NZ service businesses because per-job pricing means a two-van outfit pays $79 a month for 150 jobs and unlimited staff logins.

Is ServiceM8 better than Tradify?
For a small NZ service business doing a lot of short jobs, usually yes. For a small crew doing fewer, longer jobs, usually no. It is a pricing-model question more than a features question: ServiceM8 charges by job count with unlimited staff, Tradify charges per user with unlimited jobs.
So a three-person window cleaning business doing 120 jobs a month pays $79 on ServiceM8 against roughly $156 on Tradify Pro at $52 a user. Flip it to 15 jobs a month and that $156 buys better quoting and no job ceiling. Tradify also wins on Android and desktop.

Is Tradify expensive?
Not on its own, but it scales with headcount in a way that catches people out. At $48 to $62 per user per month excluding GST, one owner-operator pays under $50 while a six-person team pays $288 to $372 (tradifyhq.com NZ pricing, as at July 2026).
That is the model, not a criticism, and it works out cheaper than ServiceM8 once your job count climbs well past your staff count. The mistake we see is buying the top tier for everybody, including the apprentice who only needs today's run sheet. Work out both real numbers first.

Where Fergus and NextMinute are the better call
Both are New Zealand companies built for the work ServiceM8 and Tradify handle least well: longer builds, staged jobs and site compliance. Fergus is strongest when a job runs over weeks with phases, purchase orders and margin you need to watch while it is still moving.
Its account fee plus $26 a month per timesheet user suits an office-plus-field split. NextMinute is aimed at residential builders, with site plans, takeoff imports and Auckland-based support at a flat $199 a month for 3 to 9 users. We do not set either up, and we will say so.

Which job management software works best with Xero in NZ?
All four sync with Xero, so the integration is rarely the deciding factor. All four push invoices and payments across and handle NZ GST correctly. Tradify also syncs with MYOB and QuickBooks Online, and Fergus and NextMinute go further on cost tracking inside the job itself.
The part nobody checks until it breaks is your chart of accounts and your item codes. If those are not mapped properly at setup you end up with a tidy job list and a bookkeeping mess, and untangling six months of that costs more than the setup did.

Is ServiceM8 any good?
Yes, for a small NZ service business doing a decent volume of short jobs. It is strongest on scheduling, on-site forms, automated customer emails and SMS, and offline use, and it charges by job count rather than per user so putting another person on the tools does not add to the bill. It is weaker on Android, on long multi-phase builds and on progress claims. Who are Tradify's competitors in New Zealand?
ServiceM8, Fergus, NextMinute and Simpro are the ones NZ tradies actually compare it against, plus Xero's own app ecosystem for the simplest setups. Fergus and NextMinute are NZ-built and lean towards builders and longer jobs, ServiceM8 competes on per-job pricing with unlimited users, and Simpro is a step up in both size and price. Can you migrate my data off Tradify or Fergus without losing job history?
Yes for customers, contacts, pricing and open jobs. Completed job history is the honest caveat: it does not move cleanly between platforms, so the standard approach is to export it and keep it as a searchable archive rather than pretend it will land intact in the new system. We tell you exactly what comes across and what does not before you commit. Migration is quoted as one number with the team training included, and the detail is on ServiceM8 setup and training.
How long does setup and training take?
Two to four weeks for most small businesses. That is a couple of days of actual build work spread across a few weeks so your team can learn it without stopping work. Businesses with more staff, more price lists or messier data take longer, and you get the timeline before you commit rather than after.
Do I need job management software if I only do a few jobs a month?
Probably not yet. Under about 20 jobs a month with no staff, a spreadsheet plus Xero and a calendar is usually enough, and ServiceM8's free tier covers 30 jobs a month for one user if you want to try it without paying anything. The point where software starts paying for itself is when somebody else is on the tools, or when you are losing work because quotes are not going out fast enough. We would rather tell you to wait than sell you a setup you do not need.
Will my crew actually use it on site?
They will if they are trained on it before go-live and it takes paperwork off them instead of adding it. That is why crew training is part of the setup rather than an optional extra. Two things reliably kill adoption: a half-built account where nothing is pre-filled, so every job needs typing from scratch, and rolling it out to the office first so the team on the tools get it sprung on them on a Monday morning. Devices matter too: ServiceM8 is iOS-first with the better offline mode, which counts in basements, roof spaces and rural areas, while Tradify covers Android and desktop.
Do you only set up ServiceM8?
Yes, ServiceM8 is the only one we set up hands on, because that is where the Certified Partner status and 10+ years of doing it sit. Doing four platforms badly helps nobody. If your business is a better fit for Fergus, NextMinute or Tradify we say so on the first call and point you at the vendor.
